This document supports organisations that wish to use the
GreenSignature Workplace Wellness Index™ (Stress, Happiness, Anger & Trust Assessment)
in a legally safe, ethically aligned and employee-respecting manner.
1. Purpose of This Document
This Legal Usage Policy & HR Deployment Manual defines the
legal conditions, ethical responsibilities and deployment boundaries
for organisations using the GreenSignature Workplace Wellness Index™. It is intended for:
HR, people & culture teams
CEOs, founders, CHROs and business leaders
ESG, wellness and DEI teams
Compliance, legal and audit teams
Its primary goal is to ensure that the tool is used strictly for
wellbeing, awareness and workplace improvement, and not for unfair or unlawful employment decisions.
2. Legal Status of the GreenSignature Workplace Wellness Index™
The GreenSignature Workplace Wellness Index™ is:
A self-reflective psychological awareness tool
A non-clinical workplace wellbeing assessment
A preventive emotional safety screening instrument
It is not:
A medical or diagnostic device
A psychiatric or clinical psychological test
A tool for medical, legal or employment-based diagnosis
The index does not diagnose mental disorders or medical conditions. All results are
indicative wellbeing markers for personal reflection and workplace wellness discussions.
3. Permitted Organisational Uses
Organisations may use the GreenSignature Workplace Wellness Index™ strictly for
developmental and wellbeing purposes, including:
Workplace wellness analytics and dashboards
Emotional climate and psychological safety assessment
Burnout risk awareness and prevention initiatives
Employee support programme design and review
Non-clinical mental wellbeing education and training
ESG, DEI and employee-experience reporting (non-identifiable, aggregated)
4. Prohibited Uses (Strictly Not Allowed)
The GreenSignature Workplace Wellness Index™ must never be used for:
Hiring, recruitment or candidate screening
Promotion, role assignment or leadership selection
Salary, bonus or financial reward decisions
Performance appraisals or performance improvement plans
Disciplinary procedures, termination or demotion
Insurance eligibility, underwriting or premium decisions
Medical, psychiatric or clinical decision-making
Any form of forced, coerced or non-consensual participation
Any such misuse is a direct violation of GreenSignature’s ethical framework and may
expose the organisation to legal and reputational risk.
5. Employee Consent & Voluntary Participation
Employee participation in the Workplace Wellness Index must always be
voluntary, informed and free of coercion. Before assessment:
Employees must receive a clear explanation of the tool’s purpose and limitations.
They must explicitly confirm consent using the built-in consent checkbox.
They must understand that results are for self-reflection and
workplace wellbeing discussions only.
No employee may be penalised or disadvantaged for refusing to participate.
6. Data Privacy & Confidentiality
The GreenSignature Workplace Wellness Index™ is designed on a
privacy-by-design, zero-data-retention architecture:
No assessment responses are stored on GreenSignature servers.
No personal data or scores are transmitted to external databases.
All scoring and report generation occur locally in the user’s browser.
Downloadable PDF reports remain fully under employee control.
If an organisation chooses to collect or store reports externally, it becomes
independently responsible for compliance with GDPR, DPDP and other data protection laws.
7. Crisis Flag & Duty of Care
The tool includes high-level risk signals for very high stress or anger and very low happiness or trust.
When triggered, a gentle advisory message encourages the user to seek professional support.
These signals do not constitute diagnosis. Employers, however, retain a general
duty of care to promote workplace psychological safety and access to wellness resources.
8. HR Deployment Protocol (Step-by-Step)
Internal Approval: Obtain leadership and compliance approval for wellness-only use.
Communication: Inform employees about purpose, anonymity and non-clinical nature.
Distribution: Share only the official GreenSignature assessment link.
Post-Assessment: Encourage optional wellbeing conversations, without coercion.
Aggregated Insights: If used, ensure only anonymised, non-identifiable summaries are reviewed.
9. Intellectual Property Rights
The GreenSignature Workplace Wellness Index™, including questions, scoring logic, interpretive narratives
and report formats, is the exclusive intellectual property of GreenSignature™.
Organisations may use the tool under authorised access, but may not:
Copy or host the code elsewhere
Reverse engineer or rebrand the assessment
Sell, license or distribute derivative versions
10. Legal Liability Disclaimer
GreenSignature™ is not liable for employment decisions, medical interpretations or organisational actions
taken using this tool. Responsibility for lawful and ethical deployment lies entirely with the deploying organisation.
